Privacy policy

Western Arctic Moving Pictures (WAMP) is a membership-based non-profit arts organization in Yellowknife, Northwest Territories. This policy explains what personal information we collect through wamp.ca, why we collect it, who we share it with, and the choices you have. We've written it in plain language on purpose. If anything is unclear, ask us.
The short version
- We only collect personal information you choose to give us: through the contact form, a job application, or the newsletter signup.
- We use Google Analytics to understand how the site is used. It sets two cookies, and you can opt out.
- Tickets, passes, memberships and donations are bought through Eventive, and equipment rentals through EZRentalStore. Those services have their own privacy policies, and we never see your payment card details.
- We don't sell personal information, and we don't run advertising or remarketing from this site.
- You can ask us at any time what we hold about you, and ask us to correct or delete it.
We follow the fair information principles set out in Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), and the consent rules for email in Canada's anti-spam legislation (CASL).
What we collect and why
When you send us a note
The contact form asks for your first and last name, email address, an optional phone number, and your message. We use it to reply to you and for nothing else. Your note is stored in our website's content system and emailed to our staff.
When you apply for a job
The application form on each job posting asks for your name, email address, an optional phone number and message, your resume, and an optional cover letter (PDF or Word). We use this only to consider you for the role and to contact you about it. Applications are seen by the staff and board members involved in hiring. We keep them for up to twelve months after the posting closes, then delete them, unless you ask us to delete yours sooner.
When you join the newsletter
The signup form in the footer asks for your email address only. Signing up is your express consent to receive our newsletter, and we send it using Mailchimp. Every email includes an unsubscribe link, and unsubscribing takes effect right away. Mailchimp records whether emails were opened or links clicked; we look at that only as overall numbers.
When you buy tickets, passes or memberships, or donate
Festival and screening tickets, passes, memberships and donations are handled by Eventive, the festival's box office. Sometimes the Eventive checkout opens in a window right on wamp.ca, but it's still Eventive's system: you create an Eventive account, Eventive processes the order, and payment goes through Stripe. We never receive your card number. Through our Eventive account we can see your name, email address and what you bought, so we can check you in and contact you about the event you're attending. Eventive's privacy policy covers how it handles your account.
When you rent equipment
Equipment rentals happen on our separate rental store at wamp.ezrentalstore.com, which has its own account and rental agreement. The information you provide there is governed by that platform's privacy policy, linked from the rental store.
When you visit any page
We use Google Analytics 4 to see which pages people visit, how they arrived, roughly where they are (city level, worked out from your IP address, which Google does not store), what device and browser they use, and what they click: for example a link to buy tickets, a rental link, a trailer, or whether a form was started and sent. Analytics never receives what you type into a form. We use this to understand which programs people are interested in and whether the site is working. Reports are kept for fourteen months. We haven't connected this site to Google Ads and we don't use remarketing.
Our web server also keeps a standard log of each request: the IP address, the page requested, the time, and the browser. We use these logs to keep the site secure and to fix problems, and they're deleted on a short rolling schedule.
When you watch a trailer
Trailers on festival pages play from YouTube (in its privacy-enhanced mode) or Vimeo. Nothing loads from either service until you press "Watch trailer". Once you do, that service may set its own cookies.
At our events
We take photos and video at screenings, workshops and the festival, and we may publish them on this site, on our social media, and in reports to our funders. If you'd rather not appear, let the photographer know on the day, or contact us and we'll remove the image wherever we can.
Cookies
We don't show a cookie banner, because the only cookies we set ourselves are the two Google Analytics cookies below. They contain a random identifier, not your name, and the site works fine without them.

Eventive sets its own cookies when you log in or buy something, and YouTube or Vimeo may set cookies when you play a trailer. To opt out of Google Analytics, install Google's opt-out browser add-on, or block cookies for wamp.ca in your browser settings.
Who we share information with
We share personal information only with the companies that help us run the site and our programs, and only for the purposes described above. None of them are allowed to use it for their own purposes.

Some of these services keep information outside Canada, mostly in the United States. While it's there, it can be subject to that country's laws. We choose services with strong security and give them only what they need.
We'll also disclose personal information if the law requires it, for example in response to a court order, or if it's needed to protect someone's safety.
How long we keep it
Contact form messages are kept for up to two years so we can follow up on conversations. Job applications are kept for up to twelve months after the posting closes. Your newsletter address stays on the list until you unsubscribe (Mailchimp then keeps a record of the unsubscribe so you're not added back by mistake). Analytics reports are kept for fourteen months. Our site backups are encrypted and kept for about a month, so deleted information can linger in a backup for that long before it's gone for good.
How we protect it
The site is served only over an encrypted connection (HTTPS). Our content system and database sit behind a firewall and aren't reachable from the open internet, backups are encrypted, and only staff and board members who need form submissions and applications for their work can see them. No system is perfectly secure, though. If we ever have a breach that could cause you real harm, we'll tell you and the Privacy Commissioner of Canada, as the law requires.
Your choices and rights
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. You can withdraw your consent at any time: unsubscribe from the newsletter using the link in any email, or ask us to remove a form submission or job application. We may need to confirm it's really you before we act, and we'll respond within thirty days. Deleting information can mean we can't do something you've asked for, such as considering your job application.
If you're not happy with how we've handled your information, tell us first and we'll do our best to sort it out. You also have the right to complain to the Office of the Privacy Commissioner of Canada.
Children
This site is written for a general audience, and some of our events are made for kids. We don't knowingly collect personal information from children under thirteen through the site. If you're under thirteen, please have a parent or guardian fill in forms and buy tickets for you. If you think a child has given us personal information, contact us and we'll delete it.
Links to other sites
We link to sponsors, funders, filmmakers and other organizations. Their sites have their own privacy practices, which we don't control. It's worth a quick look at their policies too.
Changes to this policy
When we change this policy we'll update the date at the top of the page. If a change affects what we collect or how we use it, we'll say so on the site or in the newsletter.
